THE PROCESS

HOW ROOM BLOCKS WORK

Length of stay

Along with a minimum of 10 rooms, hotels usually require at least three nights (although some will allow for shorter stays). This is typically the night before the wedding, the day of the wedding and the night after the wedding. Your guests can usually add on extra days at the contracted group rate letting them customize their stay length outside the contracted nights.

Who Pays?

Room blocks can be set up in two simple ways. Some couples prefer to reserve and pay for all the rooms in advance, then share their guest list with the resort. Others choose to secure a block of rooms while allowing guests to book and pay directly—usually through a custom booking link created just for your wedding.

In Hawaiʻi, room blocks are typically available for groups reserving 10 rooms or more. This standard opens the door to exclusive benefits, preferential rates, resort credits, and VIP amenities that aren’t accessible through standard or online bookings.

The benefits of a room block

Booking a room block not only simplifies travel for your guests but also unlocks exclusive benefits designed to make your celebration seamless and memorable.

Benefits include:

  • Preferred pricing: Enjoy 15–20% off published rates, sometimes even more

  • Exclusive perks: Potential upgrades and special amenities for the wedding couple

  • Ease for guests: Simple booking process with no need for individual research

  • Stay together: Everyone is in one location, making it easy to spend time with your favorite people

  • Effortless coordination: Perfect for planning group activities like welcome dinners, luaus, boat trips, or farewell brunches

  • Dedicated resort support: A personal resort representative to assist with special requests and logistics

Together, these perks make your Hawaiʻi wedding stay feel effortless, elevated, and filled with aloha.
While room blocks offer wonderful benefits, it’s important to understand the financial and logistical commitments before securing one.

Things to consider:

  • Guaranteed minimum: You’ll need to guarantee a certain number of rooms. If the block isn’t fully booked, you’re responsible for paying for the remaining rooms, minus the agreed-upon attrition (usually 10%).

  • Deposit requirement: Resorts typically require an upfront deposit to hold the rooms. This amount can be significant, but is credited toward your stay once guests book.

  • Cancellation policies: Each resort has its own cancellation rules and timelines, which can be restrictive.

  • Booking deadlines: Room blocks include set booking dates, so it’s important to have a solid guest list and encourage guests to reserve before the cutoff.

  • Advance planning: Because room blocks involve contracts and payments, they’re best suited for couples with a confirmed guest list and clear communication plan.

With our experience and guidance, navigating these details becomes simple—we’ll help you understand the terms and coordinate with your resort to keep the process smooth and stress-free.
